Using Zoom with Mello

Mello creates your Zoom meetings for you and runs them inside the Meeting Room, next to the agenda, the notes and the decisions. This guide explains how to add the Zoom app, how to use it, and how to remove it.

What the Zoom app does

Once you link your Zoom account, Mello can schedule a Zoom meeting on your account when you create a Meeting Room; start it as host, or let participants join, inside Mello through the Zoom Meeting SDK; and list the cloud recordings of that meeting in the Room once Zoom has processed them.

Mello does not access your calendar, your contacts or your chat. Audio and video travel directly between your browser and Zoom: Mello never receives or stores them, and recording files stay in your Zoom cloud.

Before you start

  1. A Mello account. You can create one for free at https://mellolab-prod.vercel.app.
  2. A Zoom account. Any Zoom plan can schedule and host meetings; the recordings list needs a Zoom plan with cloud recording.
  3. A recent version of Chrome, Edge, Firefox or Safari, with camera and microphone access allowed for Mello.
  4. If your company’s Zoom account requires approval for apps, ask your Zoom administrator to pre-approve Mello in the Zoom App Marketplace.

Adding the app

You can start from Mello or from the Zoom App Marketplace. From the Marketplace, click Add on the Mello listing: you are taken to Mello, where you sign in and continue from step 3.

  1. Sign in to Mello at https://mellolab-prod.vercel.app.
  2. Open Integrations from the menu, or go directly to https://mellolab-prod.vercel.app/integrations.
  3. Next to Zoom, click Connect.
  4. Zoom opens. Sign in with the Zoom account that will host your meetings, review the permissions Mello requests, and click Allow.
  5. You are brought back to Integrations, where Zoom now shows as connected, with the name of your Zoom account.

Permissions Mello requests

meeting:write:meeting — to create the meeting on your Zoom account when you schedule a Meeting Room.

meeting:read:meeting — to read back the meetings Mello created, and to tell you which of your meetings is still running when Zoom refuses to start a new one.

user:read:user — to know which Zoom account is linked (its user ID and display name).

user:read:zak — to start your own meeting as host inside Mello. This short-lived key is used at that moment and never stored.

cloud_recording:read:list_recording_files — to list the recordings of the meetings created in Mello.

Scheduling a Zoom meeting

  1. Open Rooms and click New Meeting Room — or create one from a Space or a campaign.
  2. Choose Zoom as the platform.
  3. Give the meeting a title, a date and a length, add the agenda and invite the participants.
  4. Confirm. Mello creates the meeting on your Zoom account, under your name, and attaches its number and join link to the Room.

Starting and joining the meeting

At the meeting time, open the Room. The person who scheduled the meeting starts it as host, inside Mello; the other members join from the same Room as participants. Guests without a Mello account can use the Zoom join link. You can also open the meeting in the Zoom app at any time with Open in Zoom.

Zoom lets each host run only one meeting at a time. If you already have one running, Mello shows which one and lets you go back to it, end it if it was created in Mello, or join the new meeting as a participant.

Recordings

To record, start a cloud recording from the Zoom toolbar during the meeting. Once Zoom has processed it — from a few minutes to a few hours — it appears in the Room’s recordings, with a link to play it on Zoom. The files stay in your Zoom account and follow its retention settings; Mello keeps only the reference and the link.

Removing the app

You can remove Mello’s access to Zoom from either side; one is enough.

From Mello:

  1. Open Integrations in Mello.
  2. Next to Zoom, click Disconnect.
  3. Mello deletes your Zoom tokens immediately and can no longer create or start meetings on your account.

Removing the app from Zoom

  1. Sign in to the Zoom App Marketplace at marketplace.zoom.us.
  2. Click Manage, then Added Apps.
  3. Find Mello, click Remove and confirm.
  4. Zoom notifies Mello, which deletes your Zoom tokens and Zoom account details.

What happens to your data

Deleted at once: your Zoom access and refresh tokens, your Zoom user ID and your Zoom account name.

Kept in Mello: meetings already scheduled keep their number and join link, and recordings already listed keep their reference, as part of the project history — until you delete the meeting, the project or your organisation. To have them deleted sooner, write to hello@iagency.ma; we do it within 30 days.

Kept in Zoom: the meetings created on your account and their recordings stay in your Zoom account. Delete them in Zoom if you no longer need them.

Without Zoom, you can still open Meeting Rooms with Google Meet, or with no video call.

Troubleshooting

“Your Zoom account is no longer linked” — the access was removed or has expired. Open Integrations and click Connect again.

“Zoom could not be connected” — check that you clicked Allow on the Zoom screen and that your Zoom administrator allows the app, then try again.

No recording in the Room — the recording must be saved to the cloud, not to your computer, and appears only once Zoom has finished processing it.

The camera or microphone does not work — allow them for Mello in your browser’s site settings, then reload the page.

Privacy and security

Your Zoom tokens are stored encrypted on our servers and never reach your browser. Data received from Zoom is not sold, not used for advertising and not sent to any AI model. The full details are in the Zoom section of our privacy policy.
